An “Email Failed” error means the signing request could not be delivered to your recipient’s inbox. This can happen for several reasons, including:
The recipient’s email address is incorrect or misspelled
The recipient’s mailbox is full or unavailable
The receiving email server rejected the message
There was an error in the body of the message
How to fix it:
Double-check that the recipient’s email address is correct.
Confirm that you can send emails to that address normally without bouncing.
If the email is valid, try using the Resend function from the document status page.
If the message still fails, please contact our support team and provide the document ID number from the document status page. This will help our team quickly investigate and resolve the issue.

PDF Upload Errors in PleaseSign - Progress Bar Stuck
If the progress bar is stuck when uploading a PDF, it’s usually due to one of the following issues:
The file is larger than the standard limit ( 200 pages or 20MB)
The PDF has unusual formatting or is corrupted
Internet connectivity was interrupted during upload
How to fix it:
Check your file size and page count. If your document is larger than 200 pages or 20MB, try reducing it.
Re-save the PDF using “Save As” or export it again to ensure it’s not corrupted.
Upload the file again from a stable internet connection.

Each PleaseSign plan includes a monthly document send quota per user and optional pre-purchased SMS quota. If you’ve reached your limit, you have a few options:
Review your current plan — Go to Settings → My Subscriptions to check your plan details and available SMS credits.
Upgrade your plan — Some plans allow you to upgrade directly from within your account. Others may require help from our support team.
Purchase additional licenses or SMS credits — This can expand your limits without changing plans.

How do I use the In-Person signing function?
The In-Person Signing function in PleaseSign is ideal when recipients don’t have access to — or can’t use — their own device to sign a document. It allows you to host a signing session directly from your device so documents can be completed face-to-face.
To host an In-Person Signing session:
Set up a new document to send as normal, then click Next.
When adding recipients, click Needs to Sign, then select In-Person Signer for the recipient who will sign in person.
A new window will open where you can select who will host the session.
Choose the appropriate host (this can be yourself or another user).
Repeat this process for any other recipients who will sign in person.
Complete the remaining steps to send the document for signing.
Once the host receives the document, they can sign their assigned fields and then host the in-person signing session for other recipients using their device.

How do I create a Document or Template folder?
Step one:
Creating folders and assigning access
- Click the + next to ‘Folders’ or ‘Templates’ to open the create folder window
- Enter your preferred name for the folder.
- Click please select dropdown box and select the group you want to grant access to.
- Below it will show the users that will have access to the folder
- Click create, and that folder along with anything stored in it, will now be accessible to all members in that access group.
Step two:
- While you’re able to edit a folder and its permissions at any time, you may only delete a folder if there are no documents or templates currently stored there.

Yes, you can. PleaseSign allows you to request document uploads from recipients as part of the signing process. This is ideal when you need supporting documents such as identification, certificates, or other verification files.
When setting up your document:
Add your recipients as normal.
Click on More Options next to the recipient’s name.
Enable the Accepts Attachments option.
You can also choose to make the upload mandatory, meaning the recipient must attach a file before completing their signing.
If the recipient is signing on a mobile device, they can simply take a photo of the required document and upload it instantly.
If they’re using a computer, they can select and upload files directly through the file browser.
All uploaded files are securely stored with the signed document in your PleaseSign account.

Why is the document status still showing as “Pending” after the recipient has signed?
If a document still shows as Pending after the recipient appears to have signed, it’s usually because they haven’t clicked the “Click to Finish” button to complete the signing process.
Please remind your recipient to:
Review the document and sign all required fields.
Click the green “Click to Finish” button in the top-right corner of the screen to confirm completion.
Until this final step is done, the document will remain in a Pending status. Once the recipient clicks “Click to Finish,” the document status will update to Completed, and the sender will receive a completion email with a copy of the signed document.

Can I prove my document was not altered?
PleaseSign has been designed to keep your documents secure and to prevent modifications of a document during and after the signing process. Utilising cryptographic hashing technology, PleaseSign creates a unique hash of the document PDF before it is sent for signatures. Each time a party signs the document a Privacy Policy new unique hash is created, using this history of hashes you can prove there was no tampering or modifications made to the PDF document.
How are signatures verified?
Each document signed through PleaseSign is securely monitored, tracked and recorded in an audit trail. This non-editable audit trail contains a globally unique identifier, that can be used to look up a record in our database that shows all parties involved in the document and their signatures. These records include an encrypted hash of the PDF document which can be used to compare to the encrypted hash of a provided document to determine whether or not it has been modified since the time of it’s completion.
How are signatures authenticated?
PleaseSign authenticates all parties involved in a document so you know exactly who is signing. Recipients will receive a new reminder email or sms, but the document remains the same document record.
Will Bulk Resend create duplicate documents?
No. Bulk Resend only sends another notification for the existing document workflow.

The retention policy defines how long documents, are stored before archival or deletion.
How long are documents retained in PleaseSign after I cancel my subscription?
You have the option to delete the account including all data and documents immediately when cancelling or you may choose to store them for up to 12 months.
How do I use the document retention policy in my PleaseSign account?
For active users, documents can be deleted immediately (manually) or retained for a configurable period from 3 months to 7 years. For example, if a user sets the retention period to 3 months, any documents older than 3 months will be automatically deleted. The retention period is calculated based on the document’s sent date.
Users can also select “No Automatic Deletion” if they do not want documents to be deleted automatically.
Does retention apply to completed documents only?
Retention policies may apply to:

Voided documents
Can retention periods be changed?
Yes, It can be changed via settings only by account owners.
Are audit logs deleted when documents are deleted?
Typically audit logs are retained longer than document content to support compliance and legal requirements.
